1. Introduction
At Strivonex Coach ("Strivonex", "we", "us", "our"), we believe privacy is foundational to trust. This Privacy Policy explains, in plain English, what personal information we collect, why we collect it, how we use it, who we share it with, and the rights you have over it. We are committed to being transparent about our data practices and to protecting the personal information of everyone who uses our platform. This policy applies to both coaches and clients ("you") who use the Strivonex Coach platform (the "Platform"). It is the primary data-protection document referenced by our other Trust Centre policies.
2. Who We Are
Strivonex Coach is the operator of the Strivonex Coach software platform, which enables coaches to manage clients, programmes, subscriptions and communications. For the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, Strivonex acts as the data controller of the personal information described in this policy. If you have any question about how we handle your data, you can contact us through the Support hub in the Platform or via the Trust Centre.
3. Information We Collect
We collect only the information needed to provide and improve the Platform. The types of personal information we currently collect include:
- Account information — your name, email address, password (stored in hashed form) and login details when you register or sign in.
- Coach business information — business name, branding, contact details, website and public profile content that coaches choose to display.
- Client profile information — name, email, age, gender, height, training experience and goal set by or on behalf of a client.
- Profile photographs — images a user uploads to personalise their account.
- Progress photographs — images a client shares with their coach to track visual progress.
- Body measurements — measurements such as chest, waist, hip, arm and thigh.
- Weight — weight entries logged by a client or their coach.
- Fitness goals — the goals a client is working towards, including target weight and target dates.
- Workout information — training programmes, sets, reps, weights, personal bests and workout logs.
- Nutrition information — meal plans, food logs, macro targets and meals eaten.
- Supplement information — supplement plans and logs a coach assigns or a client records.
- Check-ins — weekly check-in submissions including ratings, reflections and submitted responses.
- Messages — content sent between coaches and clients through in-app messaging.
- AI interactions — prompts and responses generated when using Strivonex Coach features.
- Subscription and billing information — plan selections, billing status and limited payment metadata. We do not store full card details (see section 7).
- Charity challenge information — where you create or participate in a charity challenge, we process challenge details, charity information, participation records, activity contributions, campaign verification information and creator acknowledgement records.
- Charity campaign reports — where you report a charity campaign, we process the report details and any contact information you provide.
- Technical and device information — IP address, browser type, device type, operating system and usage data that helps us keep the Platform secure and working.
We do not currently collect wearable or connected-device data. In the future we may offer connected device integrations; if you choose to enable one, that data will be covered by our Connected Devices Policy in the Trust Centre.
4. Why We Collect Information
We collect and use personal information only for clear, lawful purposes:
- To provide the Platform's functionality — creating accounts, managing clients, building programmes, logging progress and enabling coach-client communication.
- To enable coach-client services — allowing coaches to deliver coaching and clients to receive it.
- To improve the Platform — understanding what works, fixing problems and developing new features.
- To maintain security — detecting and preventing fraud, abuse and unauthorised access.
- To comply with legal obligations — meeting our responsibilities under tax, accounting and other applicable laws.
Where we rely on your consent for any activity, you can withdraw it at any time. Where processing is necessary to perform a contract with you (for example, providing the coaching tools you signed up for), we process your data on that basis. Where we have a legitimate interest (such as improving the Platform or keeping it secure), we make sure that interest is balanced against your rights.
5. Special Category Data
Some information you provide — such as health goals, body measurements, weight, progress photographs and fitness-related details — is "special category data" under UK GDPR because it reveals information about your health. We treat this information with additional care:
- It is collected only to deliver the coaching services you have requested.
- It is shared only between you and your coach (and, where needed, our service providers) to operate the Platform.
- It is never used to make solely automated decisions about you, and never sold.
- You can withdraw your consent for special category processing at any time, though this may limit what the Platform can do for you.
6. AI
Our Strivonex Coach features use some of your information — such as check-in data, programme history and messages — to generate personalised assistance and recommendations, for example draft replies, programme suggestions and progress summaries. AI supports the coaching relationship; it does not replace your coach. Every AI suggestion is reviewed or triggered by a human (you or your coach) before it affects your programme. 7. Payments
- Client payments are processed directly through the coach's own connected Stripe account. Strivonex does not receive or hold client payments for coaching services.
- We do not store full payment card details. Card data is handled by Stripe, our payment processor, and never touches our servers.
- Coaches are responsible for their own client payment arrangements, including refunds, taxes and records relating to payments they receive.
- Coaches pay Strivonex separately for their platform subscription. We retain limited billing metadata (such as plan and subscription status) for account management and legal record-keeping.
8. Sharing Information
We do not sell your personal information. We share it only where necessary to operate the Platform or comply with the law, with trusted service providers who are bound by confidentiality and data-protection obligations:
- Hosting providers that store and serve Platform data.
- Stripe, which processes payments securely.
- AI providers that power Strivonex Coach features, receiving only the context needed for your request.
- Professional advisors and authorities, where required by law or to protect our rights and safety.
We never share your data for advertising purposes and we keep the information shared with any provider to the minimum required.
9. Security
We take reasonable technical and organisational measures to protect your information, including encrypted connections (TLS) for data in transit, secure authentication, access-controlled storage, and regular monitoring for threats. However, no system can be guaranteed completely secure. We continuously review and strengthen our safeguards, and we will notify you and the relevant authority where required if a personal-data breach occurs.
10. Data Retention
We keep your personal information only as long as necessary for the purposes described in this policy — to operate your account, deliver coaching services, maintain security and meet legal or accounting obligations. When you delete your account, most data is removed within 30 days. Some records (such as payment and tax records) may be retained for longer where required by law. Archived client data is retained at the coach's discretion while the coaching relationship or its aftermath continues. More detail is available in our Data Retention article in the Trust Centre.
11. Your Rights
Under UK GDPR you have the following rights over your personal information, where applicable:
- Access — request a copy of the personal data we hold about you.
- Correction — ask us to correct inaccurate or incomplete information.
- Deletion — ask us to delete your data (the "right to be forgotten").
- Restriction — ask us to limit how we use your data in certain circumstances.
- Objection — object to processing based on legitimate interests or for direct marketing.
- Data portability — receive your data in a structured, machine-readable format and reuse it elsewhere.
- Withdraw consent — where we rely on your consent, withdraw it at any time.
To exercise any of these rights, submit a request through the Privacy Requests option in our Support hub. We will verify your identity and respond within one month, as required by law.
11.5 Public Charity Challenge Pages Public charity challenge pages may display challenge names, descriptions, charity information, fitness progress summaries and participant display names. They do not expose email addresses, health information, body measurements, nutrition data, private coach notes, health screening information, private progress photographs or detailed workout records. You should be aware that information visible on a public challenge page can be seen by anyone with the link. If you are a participant and do not want your name shown on a public challenge page, do not join a challenge with public visibility, or contact your coach to participate privately.
12. Cookies
We use a small number of essential cookies to keep you signed in and remember your preferences. We do not use cookies to track you across other websites or to sell your activity. Full details, including how to manage or clear cookies, are in our Cookie Policy in the Trust Centre, which forms part of this policy by reference.
13. Contact
If you have any question about this Privacy Policy or how we handle your personal information, you can contact us through the in-app Support hub or via the Trust Centre. You can exercise your data-protection rights through the Privacy Requests option in Support; we will verify your identity and respond within one month. If you are not satisfied with our response, you have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.
Changes to this Policy We may update this Privacy Policy from time to time to reflect changes in our practices, the Platform or the law. When we make material changes we will notify you in the Platform and update the effective date above. The current version is always available in the Trust Centre alongside our other policies, including the Coach Platform Agreement, Client Terms & Conditions, AI Usage & Safety Policy, Connected Devices Policy, Cookie Policy and Your Data Rights.
